POSITION PURPOSE The Financial Research Administrator oversees accounting tasks for the Business Unit, includes portfolio management of research funding through its funded project cycle. Funded project cycle includes set up when awarded through close-out within Financial Edge. This role is a HYBRID working model with onsite days based on business needs.

JOB KNOWLEDGE Job knowledge focuses on the understanding and skills one needs in order to perform well in this role. It also focuses on the expectation to continually refine and improve the required skills by seeking out internal and external learning opportunities. Related expectations include:
  • Serves as project manager for financial projects, which include financial intelligence system implementation(s) or upgrade(s)
  • Works with Financial Edge to perform project accounting activities for internal and externally funded projects
  • Manages the daily accounting tasks, including financial data management, financial reporting, budgeting, forecasting and reconciliation related to the business unit and grants within the business unit
  • Reconciles individual expenses to the award amount
  • Prepares projections for each funded project by estimating future costs and revenue. Provides recommendations to PI/Project teams to ensure proper utilization of projects funds at the contract maximum awarded, maximum utilization without overspending funding.
  • Ensures appropriate financial reporting compliance for individual externally funded projects awarded to the researcher
  • Monitors actual results of financial data against plans, forecasts, and budgets
  • Seeks feedback from others to ensure decisions do not conflict with business needs
  • Develops for approval finance policies, procedures, guidelines, awareness and training plans
  • Applies creative thinking to determine goals and develop and improve processes
  • Liaises between various internal and external financial service providers
  • Works on special projects and other tasks as assigned by Finance team with a focus on operational excellence
  • Has a working knowledge of advanced concepts, practices, and procedures in Federal cost and grant administration
  • Financial project management and ability to manage a cluster of projects within a business unit.
  • Financial Edge, UKG, and TEAMS project plan or planner software applications
  • Office and administration procedures
PERFORMANCE AUTONOMY The performance autonomy competency focuses on the level of independence one has when performing the work. Time-management skills are also a factor in this competency. Related responsibilities include: Handles all responsibilities in a timely and effective manner in the best interest of the Institute. Duties Include
  • Assists program personnel to produce reports specific to needs of granting agency
  • Works with the appropriate organization (RI, IU, Purdue) to open the project, process documents necessary for expenditure, and close out completed grants and/or contracts.
  • Monitors available funding and expenses for projects.
    DECISION MAKING The decision-making competency focuses on how much one is expected to make decisions when performing the work. It is directly aligned with the performance autonomy competency. Related responsibilities include:
    • Ability to effectively interact and verbally communicate with diverse groups of institutional leaders, managers, employees, and stakeholders with different levels of technical sophistication
    • Ability to present ideas in business-friendly and user-friendly language
    • Ability to write reports and operational correspondence
    • Effectively prioritizes tasks to meet established deadline
    • Seeks approval before making higher-level decisions on assigned work tasks or processes

    CREATIVITY The creativity competency focuses on the amount of design, development, and problem-solving creativity expected in the role. Related responsibilities include:
    • Assists program personnel with monitoring of grant awards to maximize awards.
    • Assists program personnel with submission of progress reports to maximize continuance of funding streams where possible.
    • Assists program personnel with submission of JIT reports to maximize continuance of funding where possible.
    • Assists center administration in monitoring the financial status of its grants portfolio.
    TEAMWORK AND MANAGEMENT The teamwork and management competency focuses on the interaction and collaboration between team members. It also focuses on the ability to manage people and projects. Inherent in this competency is the ability to communicate orally and in writing and to improve communication skills as time and experience progress. Related responsibilities include:
    • Interfaces with administration in post award stage of grant to ensure compliance for all university/federal/Institute regulations.
    • Liaises between stakeholders, program/project personnel, and funding agencies on award issues.
    • Advises program personnel in timely manner of progress and problems pertaining to grant awards.
    • Serves as the primary contact for assigned functions/departments for grant monitoring and funding issues.
    • Represents administration and the Institute in a professional manner.
    • Attends staff meetings and in-service training as required.
    • Performs all tasks to company standards without continuous direct supervision.
    • Performs miscellaneous tasks as assigned by the supervisor and actively seeks additional tasks as time permits.
    • Seeks input and feedback from team members to improve individual work activities.
    • Serves as a resource to team members.
    QUALIFICATION REQUIREMENTS To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.     • Requires a bachelor's degree in accounting, finance or other financial area. Extensive experience may be considered in place of degree.
    • Requires at least two years of successful work experience in program/project fiscal management or closely related field.
    • Minimum two (2) years grants management experience and experience in an academic research environment is preferred
    • Highly motivated, detail-oriented, focused, adaptive, quick learner with a professional demeanor
    • Ability to assist with writing and preparing proposals, reports, and other written documents
    • Demonstrated ability to maintain a positive attitude and respond to requests in a timely manner
    • Working knowledge in accounting software
    • This work is sometimes fast-paced and deadline-oriented and requires a flexible work schedule. Work hours may vary to meet the needs of the Center and Institute.
    • Requires the ability to work with a diverse set of stakeholders and collaborators.
    • Requires the ability to work both in a team member and independently.
